Stapleford Village Weekend | Photo and Video Policy

The Stapleford Weekend Committee likes to capture the joy and community spirit of our event through photos and videos, which may be used for marketing and promotional purposes, including on our website, social media, and future event materials. To ensure everyone’s privacy, we have established the following policy for photography and videography during the event. Please read and adhere to these guidelines carefully.

1. Photography and Videography by Organisers
The Stapleford Village Weekend Committee, its designated volunteers, or hired professionals may take photos and videos throughout the event, including at the Friday Quiz Night, show, dog show, and other activities. These materials may feature attendees, participants, and performers and may be used for promotional purposes, such as on staplefordweekend@gmail.com, social media platforms, or in local publications like The Stapleford Messenger. By attending, you consent to being photographed or recorded unless you explicitly opt out (see below).

2. Attendee Opt-Out Process
If you do not wish to be photographed or recorded, please inform a committee member at the event entrance or email staplefordweekend@gmail.com before the event begins. It is your responsibility to notify us in advance, as we cannot guarantee exclusion from crowd shots or background footage otherwise.

3. Photography and Videography by Attendees
Attendees are welcome to take photos and videos for personal use. Please respect the privacy of others by obtaining consent before capturing or sharing images of individuals, especially children or vulnerable persons.

4. Vulnerable Person Safeguarding
Photography or videography of a vulnerable person requires consent from a parent, guardian, or responsible adult. Organisers will avoid capturing identifiable images of children without prior approval from their guardians, except in general crowd shots where individuals are not the focus. However, please ensure you inform us should someone who is a vulnerable person, is attending. Attendees must adhere to the same standard and refrain from sharing such images publicly without permission.

5. Use of Images for Marketing
Photos and videos taken by the committee or its representatives may be edited, stored, and used indefinitely for marketing purposes to promote the Stapleford Village Weekend and related community events. We will handle all images responsibly, ensuring they are used in a positive and appropriate manner to reflect the spirit of our community.

6. Reporting Concerns
If you have concerns about a photo or video taken at the event, please contact a committee member immediately or email staplefordweekend@gmail.com within 5 days of the event. We will address your concerns promptly and, if necessary, remove specific images from our materials.

7. Compliance and Responsibility
The Stapleford Weekend Committee reserves the right to enforce this policy to protect the privacy and safety of all attendees.
